We are looking for a new team member with a friendly and professional attitude who will act as the first point of contact for the people entering our office and can handle all related office tasks efficiently. The objective is to provide high quality, efficient and effective secretarial and administrative support to the HQ office employees, managers, and visitors and to provide executive support to dedicated Senior Leaders. Maintains up-to-date fleet documentation and coordinates timely maintenance and repairs.


Receptionist tasks (75%):
• Being the host of the office, Welcome guests in a professional manner
• Handle incoming calls, and make calls to partners
• Receive and send daily mail, courier post and distribute towards departments, including scanning
• Keeps records of incoming and sent post
• Tasks related to archiving, binding, printing
• Arrange and coordinate business travels and meetings (contact with airline/travel agency, with hotels and restaurants) for guests
• Prepare expense and credit card reports for senior executive guests
• Event organization (catering orders, room booking, print materials, hosting)
• Office management and purchasing related tasks (kitchen and stationery supplies, office maintenance, supplies purchasing, etc.)
• Facility management: coordination with of landlord, maintenance, and cleaning vendor
• Deputy for Executive Assistant and other Receptionist (holidays and other absence)
• Ad-hoc tasks assigned by supervisor

Car fleet related tasks (25%)
• Manage the full administration of all car-related matters
• Coordinate with third party vendors to arrange maintenance and repair services for vehicles
• Report vehicle accidents or other incidents to insurance companies and to legal department
• Coordinate with insurance companies to file claims for damaged vehicles
• Maintain records of fuel usage and mileage for each vehicle to validate invoices.
• Verify and check all the invoices regarding the car-expenses.
• Ensure the proper and up-to-date documentation of the cars (registrations, Leasing status, servicing needs/period, fuel-card, parking, tires, etc.)
• Work closely with Indirect Procurement Manager, Human Resources team and Office Manager to obtain lease quotes for new car acquisition, allocate cars to users and develop strategies for improving efficiency or reducing costs.


• College degree
• Strong MS Office knowledge (Outlook, Word, Excel, Power Point)
• Fluent English and Hungarian is a must
• Driving licence
• 2-4 year experience in receptionist position in multinational environment
